How to create a schedule?

This guide explains how to create and manage a project schedule so your clients clearly understand timelines and progress.

1. What Is the Project Schedule?

The project schedule lets you:

  • Organize your project into phases or tasks

  • Define start and end dates

  • Show clients what’s coming next

  • Keep everyone aligned on timing

The schedule can be shared with clients directly from their dashboard.


2. Where to Create a Schedule

To create a schedule:

  1. Open your project

  2. Go to the Schedule section

  3. Click Add Task or Create Schedule Item


3. Adding Schedule Items

For each schedule item, you can:

  • Add a title (for example: Framing, Plumbing, Electrical)

  • Set a start date and end date

  • Add optional notes or descriptions

Each item represents a step in your project timeline.


4. Organizing the Schedule

You can:

  • Add multiple schedule items

  • Create groups

  • Reorder tasks as the project evolves

  • Update dates if delays or changes occur

  • Link items together (Finish to start, Start to Start, and Finish to Finish option)

  • Assign activities to your employees

This keeps your schedule flexible and realistic.

Note: While you can assign activities to your team or to yourself, you can’t directly assign activities to a subcontractor who is not part of your organisation. The workaround is to add them as an employee, but we’re working on improving this.


5. Sharing the Schedule with Clients

  • The schedule can be visible to clients in their dashboard

  • Clients can view:

    • Current phase

    • Upcoming tasks

    • Overall project timeline

You can also share a public link of the schedule with anyone and print a QR code of the public page.


6. Updating the Schedule During the Project

As work progresses, you can:

  • Edit existing schedule items

  • Adjust dates when needed

  • Add new tasks for changes or additional work

Keeping the schedule updated builds trust and sets expectations.


7. Why Use the Schedule?

Using the schedule helps you:

  • Set clear expectations from day one

  • Improve communication with clients

  • Reduce misunderstandings and follow-ups

  • Present a more professional project experience

8. Additional informations

We offer two schedule views: a list view and a Gantt chart view. Our global calendar page displays the primary schedule from all existing projects.

Note: We do not currently have a print function for the schedule. You can take a screenshot of the page if needed using the awesome screenshot plug-in, for example. We are actively working on making the schedule easier to share with subcontractors and employees.
