How to assign tasks to your employees?
This guide explains how to create and assign tasks in a project, and how employees/subcontractors receive and update them.

Before you start
Tasks are project-specific (you must be inside a project to create tasks).
Recommended: Always add a due date (start dates are optional).
1) Create tasks (Admin)
Open the Project
Go to your Projects list and open the project you want.
Go to the Tasks section
Open the area where you can create/manage tasks for that project.
Add tasks
Create blank tasks, then enter the task names (example: “Demo the floor”).
Or generate tasks from the schedule to save time.
Set dates
Add a Due Date (recommended for every task).
Add a Start Date if needed (optional).
2) Assign tasks (Admin)
Assign each task
Select the employee you want to assign it to.
Click on “Send Notifications by SMS”
Confirm assignment
Once assigned, the assignee will receive a text message with a link to the task.
3) Receive and view tasks (Employee/Subcontractor)
Open the text message
Tap the link in the SMS to open the task in the Employee Portal.
View all assigned tasks
From the portal home screen, go to My Tasks to see:
What needs to be done
When it’s due
4) Update a task (Employee/Subcontractor)
Open the task
Tap the task name (not the checkbox).
Change the task status
Set it to In Progress when you’ve started.
Leave a note (optional)
Type an update (ex: what was done, what’s blocked) and tap Send.
Mark complete (when finished)
Use the checkbox to mark the task as completed (if available in your view).
5) Review progress (Admin)
Return to Admin view
Refresh the project/tasks page
You’ll see field updates such as:
Tasks marked Completed (with completion date)
Tasks marked In Progress
Notes/comments left by the employee/subcontractor

Employees cannot create tasks directly from their mobile portal yet; we are planning to add this improvement.
