How to create a quote?

Learn how to build, customize, and send a professional quote in Billdr Pro—from choosing a template and pulling tasks from the cost catalog to applying mark-ups, attaching files, and emailing the finished quote to your client.

All quoting happens inside a project’s Quotes tab. Follow these steps to create and send a quote:

1. Open the project and start a new quote

  1. From your dashboard, click the project you want to price.

  2. Select Quotes on the top bar.

  3. Click Add a New Quote.

  4. Pick one of the following:

    • a Billdr Pro template,

    • a custom template you created earlier,

    • a previously sent quote, or

    • Blank Quote for a clean slate.

2. Arrange group, categories and tasks

  • Drag-and-drop categories to reorder them.

  • Expand a category to see its tasks.

  • Add a catalog task:

    1. Click +Cost Catalog.

    2. Search the Builder catalog, Home Depot catalog, or My Catalog.

    3. Check the item(s) and press Confirm.

  • Add a custom task: choose Custom Task, name it, enter material and labor costs (or rates), and save.

  • Fine-tune costs via the blue calculator icon: override quantities, unit prices, or crew hours, then hit Save task in My Catalog to reuse that pricing later.

3. Request subcontractor pricing

  1. Click Sub Price Request.

  2. Select the category or tasks to outsource (e.g., Demolition).

  3. Choose existing subcontractors or type a new email address; add drawings if helpful.

  4. Send the request—each subcontractor receives a separate email in BCC.

  5. When a price returns (say $5,000), open the category and overwrite its total with the subcontractor’s figure.

4. Set mark-ups, discounts, and taxes

  • In the right-hand panel, enter a global Mark-up % (e.g., 20 %) and click Apply to update every line.

  • Add a Discount by name and value (fixed or %).

  • Confirm the Tax rate; the default pulls from your settings but can be changed.

5. Review the cost breakdown

The Cost Breakdown section auto-sums:

  • Total materials,

  • Total labor, and

  • Total crew hours (calculated from each task’s productivity assumptions).

6. Add administrative details

Hit Next – Add Details:

  • Payment Schedule – add or adjust milestones (amount or %).

  • Construction Schedule – enter the project timeline in plain text.

  • Quote Validity – set the expiry period.

  • Terms & Conditions – paste your clauses or use your default.

  • Attachments – upload drawings, licenses, or reference files.

7. Design the quote presentation

  1. Click Next to access Presentation.

  2. Change the Cover Image (library or custom upload).

  3. Edit the Title and Description.

  4. Insert additional Text Blocks for context.

  5. Toggle visibility of line-level details (quantities, costs, mark-up) or hide them so only the grand total shows.

8. Preview and send

  • Select Preview to see exactly what the client will receive.

  • Download the Client PDF or Scope-of-Work PDF for internal review if needed.

  • Satisfied? Click Send Quote, customize the email message, CC anyone required, and hit Send.

  • Sub Price Request emails multiple subcontractors at once without revealing the recipient list.
